Knowledge responsibilities
Good command of English in all aspects. Knowing about warranty policy & procedure to review the coverage. Claim processing, appealing, reviewing OEM documentation compliance, Audit, Warranty training conducting, payment reconciliation. Coordinates and works effectively with other employees to resolve problems with warranty repair orders.
Functional responsibilities
· Achieving High Standards: -Prepares and submits claims for warranty into online system, achieves high percentage of claims paid first time submitted, Research, connects and resubmits rejected claims, maintains accurate filing system of open claims holding for credit and authorization. Arrange for parts to be shipped back to factory or distributor or to be scrapped. Maintains an organized and professional environment.
· Working Effectively with Others: -Build productive working relationship with all branches Distributors/Dealer staff and consults with others as necessary, has an approachable style; fosters open communication through active listening, maintains positive, professional working relationships with Manufacturer representatives, Promotes cooperation and teamwork through actions.
· Handling Pressure: -Prioritizes work to ensure all deadlines are met, Maintains courteous and professional relationships in all situations with department employees. Follow up with the factory and distributors regarding unpaid claims.
· Managing Complexity: -Identifies and supports opportunities for methods/process improvement, analyzes problems, identifies trends and develops strategies to maximize claim process. Completes reports as established by dealership, recommends improvements for the department, Understanding and Using Business Knowledges.
· Principal Duties and Responsibilities: -Understands and adheres to all the brands of each Manufacturer warranty and claim procedures, ensures all codes, operations, parts and sublet charges of claims are accurate. Provides technical information and assistance to employees as needed. Verifies history of vehicles prior to claim submission to audit mileages, in-service date and past repair history. Maintains knowledge base on claim procedures, coverage, bulletins, campaigns, etc. Input claims and credit memos prepare outstanding adjustments for variance or unapproved claims. Submit weekly updated clam register to Dealers/Distributors. Continuous coaching to Dealers/Distributors warranty advisors to improve their claim preparation and review skills. Conduct onsite warranty audits, warranty training, etc. Applied information found in manuals, publications, bulletins and other documents.
Financial responsibility:
Reconcile the claim payment. Prepare necessary documents to finance for the reimburse to the end user. Appeal difference payment with OEM.
Internal/External Interactions:
Internal:
Warranty Process, Warranty Training & Audit, Trend Analysis support to all RMA group companies and internal departments.
External:
Warranty Process, Warranty Training & Audit, Trend Analysis support to all Global Aid & Development, Fleet, Retail Dealerships, Service Networks. Principal / OEM/ Supplier claim process, Warranty updates register and report to RMA central team, communication, approval etc.
Background and experience
· Minimum requirement Graduation and good knowledge in Microsoft office excel, word, power point presentation, Uses DMS, computer and other record keeping system to manage information. Must have a good understanding of the English language (reading, writing, listening and speaking).
· Required to Travel inside and outside RMA Group & Customer Networks.
