? About the RoleGaia Beats Festival 2026 is a three-day international festival blending music, art, wellness, and sustainability. We're seeking a Personal Assistant to support the Festival Director across planning and delivery.
This is a full-time, Monday-Friday role, but flexibility is essential. In the lead-up to the festival—especially pre-events, the January build period, show days, and pack-down—hours will be irregular and sometimes long. We're looking for a can-do problem solver who stays calm under pressure, thinks critically, and works proactively.
?️ Key ResponsibilitiesMaintain and update financial tracking (tickets, sponsorship, vendors, parking).
Keep revenue/expense spreadsheets accurate and current.
Manage schedules, deadlines, and daily coordination for the Festival Director.
Research and approach sponsors; prepare proposals and follow up.
Deliver sponsor commitments (branding, social posts, signage, activations).
Coordinate vendors, parking systems, warehouse logistics, and site operations.
Liaise with venue staff, contractors, and local authorities.
Draft professional emails, reports, and documents in Thai and English.
Support the marketing team with ticket promotions, discount codes, and affiliate tracking.
Thai nationality (must be currently residing in Chiang Mai or able to relocate immediately).
English Level: CEFR B1/B2 minimum or TOEIC 750+; strong written email/proposal skills.
Excellent organisational and project management skills.
Proficient with Google Sheets/Excel (budgets, calculations, reporting).
Critical thinking & problem-solving ability — able to propose solutions, not just report problems.
Strong communication with Thai vendors and international sponsors/artists.
Flexible during peak festival periods (pre-event, build, show days, pack-down).
Experience in events, hospitality, or project management.
Familiarity with sustainability practices and eco-conscious initiatives.
Connections to Chiang Mai's music, arts, or wellness communities.
